What SAP ILM adds to data archiving

Classic SAP data archiving removes eligible mass data from the online database while preserving it in archive files for later access. SAP ILM adds lifecycle-management functions that can evaluate rules, organize information for defined purposes, protect relevant data from premature destruction and support disposal after approved conditions are met.

Retention rules

ILM policies and rules can represent minimum and maximum retention periods using supported time references and condition fields for an ILM object. Availability varies by application and object. Policy design remains an organizational responsibility: technology cannot determine which law, contract or business rule applies.

Residence, retention and purpose

Residence describes how long data remains in the active database before it becomes eligible for archiving under the relevant process. Retention addresses how long information must or may continue to exist. End of purpose and privacy requirements can introduce additional blocking or deletion decisions. These concepts should not be collapsed into one generic number.

Legal holds

SAP ILM supports legal holds that can prevent relevant data from being destroyed while an authorized hold remains active. Hold processes need defined custodianship, scope, approval, review and release. The existence of a technical hold capability does not by itself establish a defensible legal process.

Data destruction

For appropriately configured ILM scenarios, data without a blocking hold can become eligible for destruction after the applicable lifecycle conditions are satisfied. Destruction may address eligible information in the database or ILM store, depending on the object and scenario.

Use supported processes and preserve appropriate execution evidence. Direct storage or database deletion can bypass dependencies, links, logs and policy evaluation.

Audit areas and policy organization

Audit areas group ILM objects and policies for a defined purpose such as a regulatory or organizational domain. Their design affects ownership, rule maintenance and retrieval. Keep the model understandable enough for responsible stakeholders to review.

ILM Store considerations

SAP ILM scenarios use supported storage architecture for retained archive resources. Selection and configuration should address compatibility, lifecycle protection, security, availability, recovery, performance and operations. Storage immutability is one technical property; it does not replace policy governance or authorized destruction.

SAP ILM and ArchiveHub

SAP ILM is an SAP lifecycle-management capability. ArchiveHub is an enterprise historical-data platform for agreed SAP and non-SAP data, documents, metadata and relationships. ArchiveHub supports configured retention and legal-hold processes within appropriately designed deployments, but it should not be described as identical to SAP ILM.
